VACANCY STOCK CONTROLLER

Position Summary

Reporting to the General Manager, the Stock Controller will be responsible for ensuring accurate and efficient management of inventory across all product categories. This includes monitoring stock movements from receipt to dispatch, maintaining optimal stock levels, and ensuring all inventory transactions are recorded in line with company policies, ERP (Odoo) procedures, and FMCG best practices. The role requires a high level of accuracy, strong coordination skills, and strict adherence to inventory control standards.

Key Duties/Responsibilities

Inventory Management

  • Accurately record all incoming and outgoing stock in the Odoo ERP system.
  • Monitor and maintain optimal stock levels to prevent overstocking or stock-outs.
  • Conduct daily, weekly, and monthly stock reconciliations with physical counts.
  • Apply FIFO (First-In-First-Out) and FEFO (First-Expiry-First-Out) principles for all products.

Stock Accuracy & Reporting

  • Conduct weekly spot checks to verify accuracy and identify anomalies.
  • Coordinate with the Procurement team to place replenishment orders based on demand forecasts and stock levels.
  • Investigate and resolve stock discrepancies promptly, implementing corrective actions.
  • Maintain accurate records of damaged, expired, and returned goods, ensuring proper processing per company policy.
  • Support Finance and Audit teams during periodic stock audits.
  • Prepare and present stock ageing reports.

Warehouse Coordination

  • Collaborate with Order Processors, Warehouse Supervisors, and Merchandisers for efficient stock handling.
  • Receive and inspect shipments/local purchases both physically and in the Odoo ERP system.
  • Supervise correct loading/unloading of goods to avoid losses or damages.
  • Ensure proper labeling, storage, and segregation of SKUs per product category and safety requirements.

Order Processing & Dispatch

  • Work with Sales and Logistics teams to ensure timely and accurate order picking and dispatch.
  • Verify dispatch documentation (Invoices, Delivery Notes) against physical stock released.
  • Immediately flag any fulfilment issues to the General Manager.

Compliance & Best Practices

  • Ensure stock handling processes follow company SOPs and health & safety regulations.
  • Monitor expiry dates and coordinate clearance procedures for near-expiry goods with Sales & Marketing.
  • Implement theft-prevention measures, including restricted access to stock areas and real-time ERP updates.

Key Outputs/Deliverables/KPIs (including but not limited to)

  • Stock Accuracy Rate: Minimum 99% accuracy between system records and physical counts.
  • Stock Discrepancy Resolution: All variances investigated and resolved within 48 hours.
  • Order Fulfilment Accuracy: 100% correct items and quantities per dispatch.
  • Shrinkage Control: Stock losses maintained below 0.5% of monthly turnover.
  • Expiry Management: Zero expired stock in the warehouse.

Academic and Professional Qualifications & Experience Required

  • Diploma or Degree in Supply Chain Management, Procurement, Logistics, or related field.
  • Minimum of 3 years’ experience in stock control, preferably in FMCG distribution.
  • Proficiency in ERP systems (Odoo preferred) and Microsoft Excel.
  • Strong analytical and problem-solving skills.
  • Excellent organisational skills and attention to detail.
