INTERNAL JOB VACANCY SYSTEM ADOPTION & COMPLIANCE ASSISTANT

Role Purpose

The System Adoption & Compliance Assistant ensures that all operational users consistently utilize the company’s system for invoicing, dispatch, stock movement, and related processes. By monitoring daily reports, identifying gaps, and engaging directly with users, the role drives compliance, strengthens accountability, and improves operational efficiency across the organization.

Key Responsibilities

1. Monitoring & Reporting

  • Review daily system-generated reports to identify gaps in invoicing, dispatch, and stock transactions.

  • Track user-level compliance and maintain performance dashboards.

2. User Engagement & Follow-Up

  • Proactively contact users (calls/messages) to highlight missed entries and guide corrective actions.

  • Collaborate with the support desk to resolve operational system gaps on time.

  • Escalate persistent non-compliance to supervisors.

3. Support & Training

  • Act as first-line support for basic user queries.

  • Deliver refresher coaching sessions for users with recurring issues.

  • Collect feedback on user challenges for process and system improvements.

4. Compliance & Accountability

  • Maintain compliance logs with issues identified, actions taken, and resolution status.

  • Work with management to enforce accountability and recognize improved adoption.

5. Continuous Improvement

  • Recommend adjustments to reporting tools and workflows for better tracking.

  • Provide insights on adoption patterns to management for decision-making.


Key Deliverables

  • Daily compliance call/follow-up logs.

  • Weekly adoption & compliance summary report.

  • Reduced operational gaps in invoicing and dispatch.

  • Improved user engagement and confidence in system use.

Qualifications & Skills

  • Diploma/Degree in Business Administration, Supply Chain, Statistics, or related field.

  • Strong interpersonal and communication skills (especially via telephone).

  • Working knowledge of ERP/distribution systems.

  • Analytical skills to interpret system reports.

  • High attention to detail; persuasive and patient.

  • Experience in customer support, compliance, or operations coordination preferred.
